What type of event is it?

What type of event do you want to organize? For instance, a congress in a conference centre with one or more rooms, a symposium, a small committee discussion meeting, a press conference, a ceremony, a business meeting, a visit at a production centre, a hybrid or fully virtual event.

This will determine the type of interpretation required (simultaneous, consecutive…), the interpretation method (on-site or remote), and the technical equipment required (many rooms in congress and convention centres do already have on-site facilities), as well as other factors.

In how many rooms will translation be needed?

If it is a congress with many rooms, in how many rooms will I need simultaneous translation, and how many of them already have the required technical equipment?

In convention centres usually only the main room (auditorium) has the technical equipment required for simultaneous translation, so that service and equipment needs to be planned for the rest of the rooms.

How many languages are going to be used?

How many languages will be spoken in the meeting and into how many languages will it be necessary to interpret?

Sometimes they coincide, but it could be that in a meeting only one language is spoken but translation is needed into five languages, or on the contrary, that five languages are spoken in the meeting but translation is only needed into two languages.

What is the subject matter of the event?

It is essential to know this in order to adequately set up the interpreters' team. Some interpreters are specialized in medical and scientific fields, for which it is not advisable to hire generalist interpreters, and the same happens with other highly technical fields. What materials do the interpreters need beforehand?

In the first stages of the project, it will be enough to provide a preliminary agenda of the meeting to know the format of the meeting, the titles of the papers, the speakers' names and the languages that will be spoken.

As the conference date draws closer, all relevant material (abstracts, PowerPoint presentations, speakers CVs, supporting documents) should be sent to the interpreters so that they can become familiar with the topic, prepare all the terminology and thus guarantee the highest possible quality.

How many interpreters and what technical equipment are needed?

Again, this will depend on several factors, such as the number of languages in the meeting, the event format (one room, several rooms, roundtable, facility visits, etc.), the timetable (it is well worth remembering that simultaneous translators always work in teams of two per booth in any event lasting more than 1 hour), the technical facilities available on-site…
